Position: Administrative Assistant 

 

Reports to: Director of Athletics

 

Supervises: None

 

Qualifications:       

  1. High School diploma or GED required.
  2. Microsoft Office skills required.
  3. Demonstrate ability to use oral and written communication.
  4. Satisfy all district requirements with regard to physical health and citizenship.
  5. Such alternatives to the above qualifications as the Board may find appropriate and acceptable.

Position Goal:  

  1. Strive to make the Athletic Office a more efficient workplace.
  2. Help the Jenks Athletic Department continue to be the best in the Frontier Valley Conference.
  3. To create a responsive public relations minded office.

Essential Functions and Responsibilities:

  1. Serve as Administrative Assistant for the Athletic Department, including but not limited to, answering telephones and emails, greeting visitors, distributing mail, processing time cards, updating the website and maintaining the master calendar for the Sharp Center.
  2. Enter schedules, team rosters, and various programs into the appropriate software programs.
  3. Maintain the master athletic schedule and notify all building principals, administrative assistants, sponsors, coaches, officials, commissioner and various departments of any athletic schedule changes.
  4. Confirm scheduled athletic events with officials.
  5. Order and maintain office supplies, equipment, and printing orders.
  6. Sell season football tickets.
  7. Distribute complimentary athletic passes and reserved seating for football games.
  8. Create the Summer Athletic Program online, enrollment process, fee collection, payroll, and final cost analysis.
  9. Organize, sanction, and report information such as all tournaments, special events, and other requirements to OSSAA.
  10. Assist in preparation for special sporting events held by the Athletic Department (tournaments, meets, pep assemblies, athletic signings and other special athletic functions).
  11. Compile lists to excuse athletic groups, travel requests for coaches, and facility forms online.
  12. Order and prepare certificates and chenille letters for student athletes.
  13. Collect insurance premiums for all students purchasing school or football insurance coverage and assist parents with insurance matters.
  14. Keep scores and conference standings current.
  15. Prepare and mail rosters, as well as collect/distribute rosters from other schools when appropriate.
  16. Order banners and trophies.
  17. Assist the Print Shop with programs and other athletic information.
  18. Maintain the No Pass/No Play for all athletics, grades 7-12.
  19. Performs such other office duties as may be assigned.

Employment Terms:  Twelve (12) month classified contract

Occasional Requirements: Reach with hands and arms overhead, above shoulder and horizontally; lift/move up to 40 pounds.

 

Visual Requirements:  Close, color, peripheral, depth perception, ability to adjust focus.

 

Hearing/Speaking Requirements:  Adequate to exchange information.
